Help Streamline Meeting Process
Template Meeting Minutes for Ease of Note Taking
Lead or Participate on Committee on Rules for Meetings as you are a core of that.(Add things like one week notice for motions, during that last week amendments can be sent in for ease of performing the meeting...otherwise we go through the process of - What is the amendment...please write it down...can the secretary restate it...etc. If they are in prior then they can be added to the minutes and everyone knows about them already.)
Keep consistent with having all the meeting minutes and any related reports presented in meetings kept in a binder.
Have a place for all of HeatSync Labs Important Documents(Articles of Incorporation, Amendments, Form 1023, Charitable Organization Form, Form 990N Postcard, etc.) for easy reference.
Schedule suggested presenters for dates on Public nights. Possibly write up a template email with the required information we need for presenters(Name, Presentation Title, Description, etc.)
Take meeting minutes during Board Meetings
Work with Champion on method of collecting visitor information for followup on soliciting for membership, getting them in contact with members with similar interests, and setting them up for presentations. Have this collection method be available for officers to put out for all events. Kiosk setup? Digital signup form?
Communicate with Lawyers to ensure we have the appropriate rules and insurance in place. Develop a base understanding of non-profit law to act as a voice during meetings and collaboration. Recognize instances where we need to talk to lawyers about stuff.
Work to improve the membership packet, liability forms, and membership sign up process.
